General
Q:  What is Erenewals?
A:  Erenewals is a service provided by Kelly Registration Systems.  It is an electronic method available for registrants to process their registration / license renewals quickly via the internet.  Fees and the registration data are submitted from the registrant to Kelly Registration Systems.  Kelly Registration Systems submits your data and funds to the state, who in turn imports the data directly into their database, reducing the time required for manual data entry, and the errors that can result from manual data entry.

Q:  Why should I use Erenewals?
A:  Erenewals allows registrants to process their pesticide product renewals in an electronic environment.  Registrants are provided with a list of products, per state, that are eligible for renewals.  Registrants simply indicate their choice to renew, discontinue or cancel products as necessary.  Registrants also can upload revised (or required) documentation online in PDF, fulfilling each state's requirements.  Once the registrations are paid for, KRS will submit the renewal data to the states on behalf of the registrant.  This entire process provides the registrant with a fast, efficient, and paper-free method to submit their renewal information.  

Q:  Is Erenewals really any faster to use than processing my renewals by hand?
A:  Erenewals allows the registrant to speed up the renewal process via an electronic, user friendly renewal submission process.    Although renewal funds may be paid by a check through Erenewals, debit or credit card transactions truly are what speed up the overall processing time.  By utilizing the ability to pay fees by debit or credit card, the user bypasses the time consuming process of obtaining a check within the company.  In addition, debit or credit card transactions are processed quickly, as there is no 'waiting time' for funds to clear before renewals can be processed at Kelly Registrations, as well as at the state.  

Q:  How does Erenewals work?  
A:  On a daily basis, Kelly Registration Systems sends an export to each appropriate state, containing all products renewed and paid for, on the previous business day.  This data is transmitted to each state electronically, and funds are provided to the state in support of the renewals to be processed.  

Q:  Will I receive my approval notice from the state faster if I use Erenewals than if I send my renewals in by the paper method?
A: States will vary in their response time.  However, several states directly import the files sent to them from Kelly Registration Systems.  This process allows for renewal information to be processed much faster than via paper submissions.

Q:  Must Erenewals be used during certain times or days?
A:  No.  Erenewals, being a web-based program, can be accessed at any hour, and any day of the week.

Q:  Can I register new products with Erenewals?
A:  At this time, a few states are participating in New Product registrations.  The complete list can be found on www.kellysolutions.com/erenewals

Q:  How difficult is the process to use Erenewals?
A:  Only basic computer skills and knowledge of the paper renewal process is required to participate in Erenewals. 

Q:  Do I need a specific browser to use Erenewals?
A:  No.  Erenewals is compatible with Internet Explorer 4 (or higher) and Netscape 4 (or higher)

Type Of Renewals Available
Q:  What renewal programs are covered by Erenewals?
A:  Kelly Registrations launched with Pesticide renewals in December of 2000, and has now expanded into a variety of other programs, such as Dealer, Applicator and Scale license programs.  

Fees
Q:  How much does it cost to renew registrations / licenses electronically?
A:  The cost is very straightforward.  The user will incur a convenience fee for each product renewed electronically, based on a percentage of the registration fee.  If you choose to pay by debit or credit card, an additional fee will be applied towards the balance due, in the amount of 4.6% for Visa, MasterCard or American Express cards, to cover applicable debit or credit card transaction fees incurred by Kelly Registration Systems.  

Q:  I started to renew my products, but I was asked various questions in the process.  What is the purpose of those?
A:  Some states require additional information, such as the confirmation of a product's active ingredient, or verifying that products you wish to cancel should no longer be found for sale in the state.  To comply with these state requirements, simply select the appropriate option, and continue with your Erenewals.  

Q:  Some states do not require that fees be paid for alternate brand names of the same product.  How does Erenewals calculate those fees correctly?  
A:  Erenewals offers the registrant the ability to indicate if products are exempt from the state registration fee.  Products checked as such will not calculate the fee.  Please note, that this information is subject to review by the state, and each state has the final authority to determine if products are truly alternate brand names, or if products are considered separate registrations.  

Discontinuance
Q:  What is the term "Discontinuance" and how is it used?
A:  For certain registrations and/or licenses, states may require what is called a Discontinuance Period.  This period is a process by which companies inform state departments of their intent to discontinue shipment and sale of a product within the state.  Basically, it is one step taken prior to cancellation of a product / license by the company, and it allows time for the remainder of the product to be cleared of the channels of trade.  Many states, if applicable, use a standard of 2 years for a product to be discontinued before it may be canceled.  However, this number varies widely between states and agencies.  


Supporting Documentation
Q:  The state requires supporting documents to be included with my renewals.  How can I submit documentation with Erenewals?
A:  Kelly Registration Systems has created a web-based program that works in conjunction with Erenewals.  The program, Document Submit, allows the user to submit supporting documentation, such as product labels, MSDS's, etc., to the state at the same time that products are processed in Erenewals.  The only requirement is that all documentation must be saved as an unsecured PDF.  (Printable Document Format.)

Paper Trail
Q:  Will I be able to print a copy of my renewal submission?
A:  At the end of the process, users will have the ability to print out a copy of their transaction, including the product names, EPA ID numbers, (if applicable) and the status of each product, whether they were renewed, discontinued, or cancelled.   A copy of the receipt will also be emailed to the email address that you entered into our electronic renewal system

Q:  Will I get a confirmation of approval?
A:  Most states will send confirmation of approvals in the same manner that you are accustomed to.  However, states may send an electronic approve notice, in lieu of the paper certificate 

Security Issues
Q:  Does everyone have access to my data?
A:  Each company (or their acting agent) registered in the state is given a username and password that is unique.  Each company/agent only has access to their own registration data.  Username and password information is only provided to one person, per company.  Individuals within that company are welcome to share the information if desired, but Kelly Registrations will only provide the log in data to one individual, per company.

Q:  I lost my password.  What can I do to get it back?
A:  Contact Kelly Registration Systems by emailing us at Erenewals@kellyreg.com.  Further instruction will be provided upon receipt of your request. 

Q:  How can I be sure that my debit or credit card information is transmitted securely?
A:  Kelly Registration Systems uses SSL (Secure Socket Layer) through Verisign for debit and credit card transactions, to ensure that all information is transmitted over the internet securely. 

Privacy Policy
Q: Will Kelly Registration Systems sell my information (such as products registered, email address) to anyone?
A:  No.  All data will be kept strictly between Kelly Registration Systems and the state.  

Payment
Q:  What methods of payment can I use for Erenewals?
A:  Payment may be made in three different ways.  You may write a paper check, just as you would if submitting the renewal by mail.  You may also pay with a debit or credit card. We accept Visa, MasterCard and American Express.  Payments by credit card allow us to submit your renewals to the state on the following business day.  If you elect to pay by check, we require a five day holding period on all checks, to ensure that funds are sufficient, before we can process your order.  

Q:  How is my check matched up with my renewal order?
A:  For check orders, please be sure to write your order number on the memo line of the check, as opposed to referencing the order number on the check stub.  To expedite the processing of checks, we retrieve digital images of the checks online, as they are deposited to our bank.  Only the check is visible. Therefore, checks without an order number must be researched to match a check with its renewal program type, and then the actual order.  This process can be time consuming, and it will delay the processing of your payment, and submission of your information to the appropriate state.

Q:  Since my renewals will be submitted electronically, how late can I wait to submit my renewals and payment?
A:  This deadline will vary, based by state.  Some states allow registrants to process their electronic renewals through us, up to the day before the registrations expire.  For a majority of states, particularly the end-of-year renewal states, we must submit our information and payments prior to the state's deadline.    Erenewals orders that are created / processed 'on' the state's deadline will not be sent to them until the following business day, which would then require the application of late fees.

As a reminder, payments by check must be received by KRS, no later than five business days, prior to the state's expiration date.  Checks received after this cut-off time may not clear in time to be submitted before the state's deadline, and applicable late fees may be assessed.  

Q:  Can I send Kelly Registration Systems my data, but send the check to the state?
A:  No.  The payment and renewal data must both be submitted to Kelly Registration Systems.

Q:  If I pay by check, what is the mailing address?
