Q: What is the purpose of Document Submit?
A: Document Submit allows registrants to submit updated
documentation, such as in-commerce
product
labels and MSDS's, to participating states electronically.
Q: How is an electronic submission a benefit to anyone?
A: Document submit is beneficial for a number of reasons, both for a
registrant/licensee and the state department. Initially for any registrant
or licensee, the benefit is that the ability to submit documentation electronically
removes the need for manual photocopying, assembly, and expensive mailing of
bulky paper materials to multiple states. With Document Submit, a
registrant/licensee may submit a document to participating states in only a few
minutes with no use of paper materials.
In addition, as a benefit for a registrant/licensee and for state departments, PDF files are clearer and easier to read than printed/photocopied materials. PDF's also reduce the storage space required for product labels for the registrant/licensee and the state.
After participating states approve the labels, they will be uploaded and linked to state data on kellysolutions.com, where they will be accessible by any interested party.
Q: What is a PDF?
A: A PDF, otherwise known as a Portable Document Format, is a
common type of image file. All images must be submitted in PDF to provide
consistency, clarity and reliability, as well as security.
Q: Can I send the same label to more than one state
at one time?
A: After a product label or MSDS is submitted for a state, you will
have the option to send the same document to other states where the same product
is registered, with the click of a mouse!
Q: My labels are not in Portable Document
format. How can I get them in PDF?
A: PDF labels may be obtained from the department that prints your
product labels. In addition, some Microsoft Word Documents may be printed
to the Adobe Acrobat PDF writer on your own system. As a last option
you may choose to scan your documents and create a PDF.
Q: Where does the product listing on Document Submit come
from?
A: Each participating state supplies Kelly Registration Systems
with data directly from their own tracking programs on a scheduled basis. KRS takes
this data, and converts it into a different format, which allows for the user to
easily work with their products registered in each state.
Q: How up to date is the provided list of products or
licenses??
A: Most states send data on a weekly scheduled basis.
Q: What happens to the documents that I send to the
state?
A: The documents will be available for the state to review electronically.
After the state's approval, the documentation will be made available on
kellysolutions.com, where the general public may obtain information
on that product, including the MSDS or product label.
Q: When can documentation be updated?
A: Documentation may be updated at any time.
Revised labeling may be uploaded throughout the year, as Document submit is
available 24/7/365.
Q: What is the charge to submit
Documentation through Kelly Registration System's Document Submit?
A: There is no charge whatsoever to registrants or
states.
Password Requirements/Security
Q: Can other people upload labels for my company?
A: To ensure that only authorized personnel are permitted to
upload legitimate documents, a user name and password is assigned to each
agent. This information comes directly from Kelly Registration
Systems.
Q: I lost my password, or never received one.
A: Please contact Kelly Registrations at the number listed below,
and we will be happy to assist you in obtaining the information.
Q: Not all states are participating. Why is
that?
A: KRS has extended the offer for participation to all
states. Some states require a more lengthy process to receive electronic
documents,
due to legislation or internal reasons.
Q: Some states are on kellysolutions.com but are not
participating in Document Submit.
A: Certain states are not yet ready to handle electronic processes,
although most of them are either ready, or well on their way to being able to
accept electronic submissions.
Q: Can I do anything to
help 'speed up' those states that are not yet participating?
A: You are welcome to call or write to the appropriate state
departments, to express an interest in submitting documents
electronically.
